Job Summary

The Event Director is responsible for the planning, coordination, and execution of event rentals to ensure they meet the objectives and expectations of the organization. This role involves overseeing all aspects of event rentals and production, including client relations, order/contract/payment management, site inspection and supervision, vendor coordination, and logistical planning. The Event Director will work closely with internal teams, stakeholders, and external partners to deliver seamless and impactful events.

Duties & Responsibilities:

  • Event Planning & Strategy: Develop and execute event strategies, including the creative planning, rentals/sub-rentals, timelines, and logistics for a wide range of events, including, but not limited to, weddings, premiers, galas and fundraisers, corporate events, schools and universities, private events, & athletic events.
  • Client Management:
  • Effectively acquire and develop new customers by direct contact.
  • Serve as the primary point of contact for clients, ensuring their needs and expectations are met throughout the planning and execution stages.
  • Maintain and grow client relationships for long-term account sales.
  • Execute sales quotes, contracts, and payments.
  • Address and resolve client relation issues that may arise.
  • Develop additional leads through extraordinary customer service and rapport building.
  • Collaboration with Sales Associate:
  • Assist in translating client needs and preferences into event orders
  • Work closely with the Event Sales Associate to support sales efforts and ensure smooth communication and coordination across departments.
  • Vendor Management: When appropriate, source, negotiate, and manage relationships with external vendors and venues.
  • Budget Management: Address client event budgets as well as track and bill all event-related costs.
  • Execute and maintain accurate records of order negotiations, client/vendor/venue agreements, and all other pertinent documentation associated with our services.
  • Logistics Coordination: Oversee the logistical aspects of the events, including, but not limited to, venue inspection, transportation assessment, crew accommodations, set up/break down, and permitting.
  • On-site Management:
  • Supervise company staff and crews while addressing any issues that arise to ensure smooth rental experience. Address any issues with the corresponding manager or supervisor.
  • Identify and address on-site safety concerns and hazards.
  • Mitigate any damage to property and inventory.
  • Adhere to company policies as well as OSHA regulations and standards
  • Post-event Evaluation:
  • Conduct post-event assessments, gather feedback, and continue to improve client relationships.
  • Attend mandatory sales, department, and company meetings.
  • Perform other duties as required.

Knowledge, Skills & Abilities:

  • Ability to manage installation crews of various sizes on different event sites.
  • Extensive knowledge of Town & Country's rental inventory.
  • Familiarity with tent installation, electrical requirements for off-site locations.
  • Thorough knowledge of city/county/state ordinances, restrictions, permits with relation to upcoming events.
  • Must be able to effectively communicate in person with clients, coordinators, vendors, security and Town & Country personnel.
  • Must be able to meet or exceed the required sales goals, expectations and objectives.
  • Work on a team yet be self-started in a dynamic and fast paced environment.
  • Effectively communicate, orally and in writing, and make effective sales presentations with key decision makers within the event rental industry.
  • Ability to analyze and creatively solve problems.
  • Conducting consultative sales calls.
  • Ability to develop relationships and maintain an active presence in the Event Rental community.
  • Responsible for promoting Town & Country as a leader in Event Rentals.
  • Making sales presentations to key prospects and customers that positively influences the demand for company's service.
  • Possess superior organization skills and display excellent time management skills.
  • Ability to measure and diagram event sites accurately, noting all obstacles, potential conflicts, zoning restrictions and requirements.
  • Knowledge of modern office procedures and methods, including telephone communications, office systems, and record keeping.
  • Knowledge of modern business communication, including style and format of letters, memoranda, minutes, and reports.
  • Skilled use of a personal computer and various software packages.
  • Ability to establish priorities, work independently, and proceed with objectives without supervision.

Education and Experience:

  • Two years prior sales within Event Rental Industry
  • Extensive product knowledge of Event Rentals
  • CAD or free-hand diagram ability
  • Proven and successful sales skills.
  • Excellent telephone etiquette
  • High School Diploma or equivalent
  • A flexible schedule (must be able to work weekends).

Job Type: Full-time

Pay: $80,000.00 - $120,000.00 per year
